Your Final Wedding Week: A Calm Checklist for a Tamborine Mountain Celebration

A bride in getting-ready clothes holds a small white dog on a leafy cottage balcony at Shambala Estate.

The final week before your wedding is a good time to bring the plan together, then let it become quieter. You are checking the decisions already made, making sure the right people have the same information and putting the essentials somewhere easy to find.

Use this checklist alongside your confirmed package, supplier agreements and final arrangements with the Shambala team. It is a planning aid; it does not add inclusions or replace any earlier deadline.

In the final week: confirm one clear plan

Send any changes through the agreed channels and check that the final guest numbers, dietary requirements and access needs have been received. Identify the latest run sheet by its date so suppliers and family helpers are not working from different versions.

  • Reconfirm supplier arrival times, access, parking and the contact details they will use on the day.

  • Check ceremony, meal, speeches, entertainment and departure timings against the agreed plan.

  • Confirm the weather decision process, the alternate setting and how any change will be communicated.

  • Check guest transport, accommodation and return journeys directly with the relevant providers.

  • Confirm what you bring, what suppliers deliver and what the venue provides under your own package.

For an Australian marriage, the Notice of Intended Marriage is generally given to your authorised celebrant at least one month and no more than 18 months before the wedding. It is an earlier planning step, not a final-week errand. Ask your celebrant to confirm that the required notice, identity evidence and remaining paperwork are in order. If anything is unresolved, contact them promptly about your circumstances.

Prepare guests for the mountain

Send one useful arrival message with the venue address, the requested arrival time and the transport arrangements you have actually confirmed. Give people travelling to Tamborine Mountain room to plan their journey and check current road conditions close to departure.

Include practical clothing or footwear guidance where helpful. Consider sun protection, drinking water, a layer for later and the wet-weather plan. Specific forecasts and road conditions change, so check them during the wedding week rather than treating seasonal expectations as a promise.

The day before: pack by moment

Put your essentials into a small number of clearly labelled bags. Keep a list of who has each important item, rather than trusting everyone to remember the same conversation.

  • Ceremony: rings, vows and anything your celebrant has asked you to bring.

  • Personal: attire, shoes, accessories, any prescribed medication, chargers and the small comfort items you normally rely on.

  • Photographs: any personal objects you have agreed to include with your photographer.

  • Afterwards: a change of clothes, overnight items if staying, and a plan for gifts and belongings.

If children or a pet are joining you, confirm their care, rest and departure arrangements with the responsible adult or carer. Keep those plans separate from tasks you want the wedding party to enjoy.

The wedding morning: protect the essentials

Eat, drink water and allow the preparation time agreed with your suppliers. Check the rings and vows once, then let the person carrying them do so. Follow the confirmed access arrangements for cottages and preparation spaces; another couple’s photographs do not establish what is available for your booking.

Our five wedding coordinators jointly support every couple. Make sure the shared team has the final changes so any coordinator can continue the conversation. Give a trusted family helper the guest questions they can reasonably answer, leaving venue and supplier arrangements with the appropriate team.

Before you leave: know what happens afterwards

Confirm who collects personal decorations, gifts, cards and anything left in preparation spaces, and by when. Ask suppliers about their own collection arrangements. A small plan now prevents your first day as newlyweds becoming a search for missing belongings.
