How to Choose a Wedding Venue: Finding the Place That Feels Right for You
Take time to picture how your celebration could feel in the spaces you visit.
The short answer: choose a venue that supports the wedding you want to have. Beautiful surroundings matter, but so do your guest list, the full cost, the weather plan and the people helping you bring it together. A good private tour should leave you feeling clearer about all of them.
Choosing a wedding venue can feel like choosing the shape of the day itself. It influences how people arrive, where you exchange vows, how guests spend the afternoon and whether the celebration feels relaxed or rushed. Start with what matters to you, then use a few practical questions to see whether the setting can hold that experience.
Begin with the feeling, then the practical boundaries
Before you book visits, each write down three things you hope your wedding will feel like. Perhaps you want an intimate ceremony, a generous meal with everyone together, plenty of dancing or a weekend with time to settle in. Compare your answers. They are a useful compass when a beautiful room or an appealing offer threatens to make every venue feel like the one.
Agree on an approximate guest count, a comfortable overall budget and the dates or seasons you could consider. Keep those assumptions consistent when requesting information. A quote for a Thursday celebration with 40 guests cannot tell you what the same venue would cost for your Saturday wedding with 90.
Compare the whole wedding, not just the starting price
Ask for a written explanation of what is included, what is optional and what you would still need to arrange. Check ceremony and reception access, food, drinks, furniture, tableware, styling, music, coordination, setup, pack-down and accommodation. Ask whether quoted amounts include GST and whether there are booking fees, guest minimums, overtime charges or date restrictions.
Use the same guest count and celebration format for each comparison. Include outside suppliers and extras in your overall budget, and count deposits as payments towards the agreed total, not additional wedding costs. Walk the day as your guests will experience it
Begin at the arrival point and follow the route to the ceremony, pre-dinner drinks, reception, bathrooms and transport collection. Notice the distances, surfaces, signs, shade and shelter. Ask where guests will wait while photographs are taken and how older guests, children and people with mobility needs will move between spaces.
View the room in a layout close to your intended guest count. Ask how seated dining, a cocktail celebration and the dance floor change the usable space. Photographs are valuable, but walking the route makes the transitions easier to understand. Explore Shambala’s ceremony locations and reception spaces with that guest journey in mind.
Stand inside the wet-weather alternative
Ask to see the actual alternative ceremony and gathering spaces. Find out when a weather decision is made, how the couple is involved, how suppliers are informed and whether any change carries an extra cost. Consider heat and strong sun as well as rain.
A thoughtful backup should still feel like a celebration you would be happy to have. Ask how photographs, guest movement and timing would work if the original plan changes. Our wet-weather wedding guide explains the questions worth bringing to your tour.
Make accommodation and transport part of the plan
If guests are travelling from Brisbane, the Gold Coast or further afield, discuss where they will stay and how they will arrive and get home. Check actual sleeping capacity, who can use on-site rooms, whether stays are included or booked separately, minimum stays and check-in and check-out arrangements. Ask about nearby accommodation and transport options for everyone else.
Shambala Estate is on Tamborine Mountain in the Gold Coast Hinterland, with four on-site cottages. Those cottages do not accommodate an entire wedding guest list. Explore our wedding venue and accommodation information and Tamborine Mountain cottages, then discuss your particular arrangements with the team.
Ask specific questions about accessibility and comfort
Describe what your guests may need and ask to see the relevant routes and facilities. Useful questions cover steps, path surfaces, gradients, nearby parking, bathroom access, seating, lighting and a place to take a quiet break. Check distances in person where possible.
A general accessibility label cannot answer every individual need. Ask what is available, what requires advance arrangements and where there are limitations. Include dietary needs, children’s comfort and any cultural or personal traditions in the conversation too.
Notice how the team listens
Do your questions receive clear answers? Does the conversation make room for what matters to you? Are limitations explained honestly, and are decisions and promises recorded so you can refer to them later?
At Shambala Estate, all five wedding coordinators jointly support every couple through one shared client record. Any coordinator can respond, follow up and continue the journey. Our venue is special, but our people make the difference. Meet our wedding coordinator team and ask how information moves from the tour into your proposal and planning.
Understand the agreement before securing a date
Ask for the written terms and take time to read them alongside the proposal. Check the wedding date, included spaces and access times, payment stages, final guest-number deadlines, supplier conditions and any refundable bond. Ask what applies to postponements, cancellations and changes to the agreed arrangements.
If anything is unclear, ask for an explanation in writing before committing. Keep important promises in the shared planning record and the relevant agreement or proposal, so everyone is working from the same understanding.
Your wedding-venue tour checklist
Keep these questions on your phone and use the same checklist at every venue:
Does the setting suit the atmosphere we want?
Which spaces and layouts work for our guest count?
What is the comparable total cost, including GST, fees and essential extras?
What is included, optional or arranged through outside suppliers?
What guest minimums, eligible dates and access times apply?
How do guests move from arrival through ceremony, drinks and reception?
What is the rain or heat plan, and when is the decision made?
What accessibility and guest-comfort arrangements can be confirmed?
Who can stay on site, and what needs separate booking?
How will other guests travel and get home?
How does the team share our plans and record decisions?
What do the agreement, payment stages and change conditions require?
Give yourselves a quiet debrief
After each visit, write down what felt right, what you learned and what still needs an answer. Compare the practical facts as well as the feeling. You do not need every detail decided before you enquire, but you should understand the next step before securing your date.
